Regarding King's Employment Equity Census:
April 2004
Employment Equity is an ongoing initiative approved by College Council and the Board of Directors at King’s University College. Last year, all three Associations endorsed conducting a new census. While participation is voluntary, it is hoped that every employee at King’s will complete and return their census form. The census form to be used has been approved by the Presidents of the Faculty Association, the Professional and Administrative Officers’ Association, and the Staff Association. Their signature indicates their support for this important undertaking.
All information is treated confidentially and used only to implement and monitor equity programs.
King’s is a broad and open intellectual community, and each individual is a highly valued member of this community. I urge you to take the time to complete this questionnaire. Your cooperation is essential for the success of this initiative.

Under the initiative approved by College Council and the Board of Directors in 1991, and the terms of the Federal Contractors Program, King’s University College is required to gather and maintain data about the representation of its employees in four designated groups: women, racial minorities, persons of aboriginal ancestry and persons with disabilities.
King’s University College has undertaken a commitment to equity in employment. The gathering of this data is essential to the process of developing equity programs. The Employment Equity Committee at King’s comprises representatives of each Association and of the designated groups.
As representatives of Associations on campus, we endorse this census and its goals. While participation is voluntary, we hope that every employee at King’s will take the short time needed to fill out and return the enclosed form.

Code of Confidentiality
The following Code of Confidentiality describes the safeguards developed to protect your rights and confidentiality of the data.
- The information you provide will be treated in the STRICTEST CONFIDENCE.
- The data will only be used for the purpose of compliance with government regulations and pertinent legislation, and the development of employment equity programs at King’s University College.
- Reports based on the census data will be issued in aggregate statistical form only so that no individual can be identified.
- Statistics concerning areas where numbers are small, and might identify individual information, will not be released publicly.
- Data will not be made available for purposes other than equity programs or released to any other organization.
- Confidentiality begins with each employee completing the enclosed questionnaire and sealing it in the envelope provided. Because of the need to link human resource information (occupation, salary, retirement date, birth date) with the census data for each respondent, the information on the census form is confidential but cannot be anonymous.
- The questionnaire forms will be destroyed three months following completion of the data analysis.
- No individual may obtain information about others with regard to this questionnaire or the data gathered.
- Upon written request, the information received from any individual will be removed from the data bank
INTRODUCTORY STATEMENT
King’s is obligated to implement Employment Equity and to certify this commitment as a condition of our request for research grants. The terms and conditions of the Federal Contractors Program require King’s to satisfactorily fulfill these criteria:
- determine and analyze the internal work force
- eliminate policies and practices that have an adverse impact on designated groups
- identify areas for change
- establish goals and timetables for the hiring and promotion of designated group members
- develop an action plan to achieve the stated goals
The Federal Contractors Program is designed to ensure organizations that do business with the Government of Canada achieve and maintain a representative work force. The goal is: To achieve equality in the workplace so no person shall be denied employment opportunities or benefits for reasons unrelated to ability and in the fulfillment of the goal, to correct the conditions of disadvantage in employment experienced by women, aboriginal peoples, persons with disabilities and persons who are, because of their race or colour, in a visible minority in Canada by giving effect to the principle that employment equity means more than treating persons in the same way, but also requires special measures and the accommodation of differences.
